At rough count there are probably over 5,000 listed members within a days ride of the Finger Lakes. The active list will be substantially shorter. 

Is there an true active members list? For example a minimum number of posts within the last year or ???

I can appreciate the frustration of the hotels and other organizing people when cancellations come in at the last minute. Unfortunately this isn't a company event where the boss tells people to go and everyone shows up.

I have tried to do some internet investigation on this and it's a bit like trying to nail jello to a wall.

A lot of the events in the area have not set firm dates. NASCAR has but the wine festival hasn't (Suspect Mid July) There are many other shows as well.

A major event raises hotel prices and that might discourage some attendees.

If the only accommodation was the $400.00 a night waterfront place in Watkins Glen I would likely pass on the meet.

We stayed at the Best Western in Horseheads NY and found it to be a comfortable basic motel but it only has 40 rooms in total. Rates seem to vary from $80.00 to $140.00 depending on what's happening in the area at the time.

Also what is the maximum distance to the campground?

There is a KOA in the area but not being a camper I didn't realize that a living in a small bungalow mounted on a Freightliner chassis qualified someone as a camper.

The campsite are a mix of locations for anything from tents, pop-ups, trailers and RVs.

There are suitable facilities in the area but to get the real rates we have to make a commitment. But to make a commitment we need the real rates. Catch 22

we're thinking the same thing. They have a new passport card now that's the same size as a credit card. Canada does accept it.
