There is no way that the Tanygaers should be out of pocket on this. There should be a set registration fee for each attendee. The actual amount could be decided upon once there is a better idea of numbers attending. The event T-shirt is a great idea, the sizes etc. could be stated as people registered.
As a member of the organizing committee of two VRCC Euromeets (Newport 03 & Carmarthen 05) I know what fun and hard work the setting up of this sort of event can be. I do remember being very grateful to people who forwarded their registration fee BEFORE the event as there was always something too shell out for and as you rightly say, any surplus cash can be donated to forum funds.

Twinsbampy, we can't do it this way. There are all sorts of issues involved.
Tanygaer cannot be seen to be charging people for camping because he is not a registered camp site, this is just a meeting of a group of friends. As soon as you charge, it becomes an organised event and things like public liability insurance are required and he could get grief from the council.
The only way we can do it is to either request a voluntary donation to cover costs, or to sell each person a small item like a badge or T shirt at a grossly inflated price - Tanygaer and I favour the former and I really can't see a member of this fine forum turning up and not contributing.

You're right regarding the liability thing and I don't wish to step on anyones toes. You look to be doing a grand job of organising the event. If I can be of any help between now and the meeting, please just ask.
BTW, a brilliant choice for the rideout.

I am up for a t shirt or two I need an xxl for lady tanygaer, a large for spook, an xs for bryony, miss tanygaer can order her own. I will pm goerdiemuppet to let him know my size.....

The only thing I would ask is that cowboy Silverfox doesn't get his hands near any of the money cause he has a silver to pay for and he just might be tempted to run away with all the money

I do the regalia for Border Wings. Once we have the design, I will get prices from our supplier and then take orders before the event. I will then turn up with everyones shirts on the day.

I agree with GM, all this non attendance is very suspicious. How can someone who is retired and so physically fit, be so sure that he won't be attending a huge event, before the date is even announced ..... unless of course he ( or she) were not able to attend due to a "schizophrenic membership". It would be hard to appear as one character if one had another persona. 
The field is somewhat narrowed down, for those wishing to know, what say you GM and Wannabe and Co?

There are quite a few of those that are signed up for this event expressing an interest in arriving on the Thursday, so I am think of organising a rideout for the Friday.
At the minute the Irish contingent would appear to arriving on the Friday, so what I am thinking is that if they are arriving in Holyhead that we ride to meet them, we good go from Tan Y Gaer to Angelsey, and once on the Island hang a right up to Almwch, have a cup of tea there and if the weather is clear we should be able to see the Isle of Man, then head on into Holyhead meet with the Irish Contingent and head home, thats about 70 miles in all.
Does rely on the Irish Contingent comming into Holyhead, and them all being on the same boat.
Let me know your thoughts, and if there is anyone out there that might like to lead this rideout give me a shout. We dont want to have the fastest colour leading the rideouts all the time......

I would happily lead the ride out........ everyone loves magical mystery tours, don't they!!!! 
Happy to help with marshalling as required, though my ride doesn't have CB for communication.
A ride out that also takes in meeting folks off the ferry sounds good, maybe some of us might be happy to go to other ports to meet up with any other arrivals.

Regarding the costs of the weekend ,there is no way tanygaer should be out of pocket for this , I think a whip round between us all should accumulate enough to cover the expenses that will incur ,,
I volunteer myself to do the whip round as some of you know I can be very persuasive when it come to getting people to do things they do not want to do
